Close Period & Processing Year End
What is Close Period?
IndiCater operates on a weekly basis, which is displayed by users having a weekly task of closing their week.
To close a week, a user simply clicks on the red circle for the week in question, answer the relevant questions that may have been created by Head Office and confirm. Once confirmation has been made, the circle will green and the unlocked padlock icon will turn to that of a locked week.
This ‘locks’ the week and the data in place so no further amendments can be made.
You may also see the option to close a month, this is a client option and closes the days in a week up to the last day of the month, locking any data mid week, so exports can be run up to month end, with out needing to close the week.
Where do I find the Close Period option?
When signed into the outlet, simply select Company and you will find Close Period listed second in the menu.
Do I need to close Employment, Finance & Stocktaking?
You are only required to close the modules you are using and have been instructed to close, as our close week process is done on a module-to-module process.
Why are some weeks blue?
Your Head Office may have set the option to authorise the closing of the week. No data will be affected but the blue dot means that the week in question has been approved by your Head Office.
Processing Year End
Process Year End must be completed in each outlet by the end of your companies financial year, the process year end button will become visible when it is required to be done.
To complete the process, just select the process year end button as highlighted below.
You will be asked to confirm if you want to proceed and will be logged out of the outlet. The process can take up to 1 hour. Whilst processing all users should be logged out.
Â
IndiCater allows you to use the outlet as usual for up to four weeks beyond the standard 52 found in a financial year.
When the 52 (+4) weeks are complete, you will no longer be able to use the platform until the Year End has been processed.
Processing year end will close and complete your previous financial year and lock the data for that time period. You will then move onto the new financial year.
How long does Processing Year End take?
The system currently advises it takes up to one hour to process the financial year. In reality, this is usually around 15 minutes, but we do recommending completing the process when users are not needing to use the platform.
