Summary of reports

This document provides a summary of the reports in the new Reporting module

Generic reporting information

Use the search bar at the top of the page to search for a word and have the system recommend the relevant reports.

2. Accessing the reports

As you hover over the menu bar on the left of the page, the options will expand. Click on a Heading to see the reports listed

3. Selecting your report criteria

Outlets

Select All Outlets or the specific outlets you want to report it.

You can use the Power Targets to run reports for certain Areas and Regions. The ability to select Brand will be added soon.

NB. you will have access to the data for the outlets you can view in IndiCater. If you are restricted to an Area or Outlet, you will just see data for the outlets you have access to.

Dates

Pick your preferred date range or use the Power Targets to pick a week, month or reporting period

Filters

Different reports have different options. If you want to run a report for all options within a filter, eg group suppliers, you don’t need to make any selections in the filter. Use the filters to make a specific selection otherwise you can leave them as they are.

4. The data

Once you have run your report, you will have the below options:

  • export to csv

  • click on the column headers to sort the data

  • search for key words

  • see more lines of data per page and scroll through the pages. To do this navigate to the bottom right corner of the page

 

The Reports

Company

Close Period Report

Providing information about the modules you use, this report is a new version of the existing report. You can select the time period you are running it for as well as the module.

Compliance Report

Like the Compliance page in the outlet, this gives you a head office view around the ‘housekeeping’ at each outlet. Do they have orders they should have booked off? Do they have invoices awaiting approval? Have they done their stocktake?

Income

Sales

This shows data entered in the Cash Sales field in Outlet, Finance.

Cash Sales tab

This will show a summary of data as entered into Indicater. You can click on the downward arrow on the left to see the contents of each line.

Item Breakdown tab

Useful for clients with epos integration, this will show you the total of each item sold for the outlets and date range selected.

Internal Sales

This report shows the internal sales for the selected date range and outlets.

Internal Sales tab

This will show the transactions entered based on their department and category. You can expand the detail by using the arrow on the left of the line.

Summary tab

This gives you the option to see the data broken down by department,s category, cost centre etc.

Theoretical Margin

This report is for epos clients who want to compare the theoretical cost of their sales with the actual cost of sales.

The cost of sales is calculated using the opening stock take, the purchases (this looks at order that have been booked off during the period), the stock transfers and the closing stock.

The report is to be run in conjunction with your stocktaking so if you do a monthly stocktake, you can’t get data for a week and we need to include the stock movement.

Wastage is not included in the cost of sales.

Swipe Card sales

This report has a tab for the Loader Cash transactions, another for the Swipe card sales and a Summary which shows the liabilities.

Purchasing

Outstanding Estimates

This is an updated version of the existing report, now giving you the ability to drill down to see the contents of a transaction. This report shows outstanding orders (orders which haven’t been booked off), outstanding estimates and those estimates which have an EDI invoice/credit note pending approval.

Order Summary Report

This is a brand new report that enables you to see the invoice status of orders placed within a specified period.

Purchasing

This is an updated version of the existing purchasing reports, now giving you the ability to drill down to see the contents of a transaction.

As with the previous Head office Purchasing report, you can choose to see the data based on the invoice date, or click the option Show transaction dates and history to see the data based on when it was entered.

  • If you choose to see the history, you will see the estimate on the date it was booked off, and the reverse and the invoice on the date the estimate was converted into the invoice. You will see invoices in the period they were entered with the late invoiced date as the invoice date.

  • If you choose not to see the estimates, you will see the final invoice value dated as the invoice date (or late invoice date if there is one)

Local cash purchases are not yet included in this report

Supplier Favourites

This new report shows you the outlets who have a supplier as a favourite together with the account number. This is really useful if you want to cross reference account numbers with your supplier, check for duplicates or missing data.

Invoices Awaiting Approval

This will show you all invoices and credit notes that have been sent/uploaded via EDI, EDI Lite and the portal and which require approval.

PO to Invoice

This is like the old Order to Invoice verification report. Delve into the detail to see what was ordered, what was booked off and what was invoiced, and crucially, when it was all done.

Cost Transfers

See the costs transferred between outlets and/or departments and catefories.

Stocktaking

Stocktaking

This report has different tabs to allow you to select the data you want. You can see the summary which provides a total by category or the detailed data which will show you the itemised closing stock information. Use this to search for an item to see how much stock of a product you across across the outlets.

Detailed Stock Summary tab

The total value of stock recorded using Detailed Stocktaking, summarised by purchasing category

Detailed Stock by Outlet tab

An itemised closing stock report showing the outlet. Use this to search for a specific item and see who has stock

Detailed Stock by Location tab

An itemised closing stock report showing the purchasing category and stock location. An item which is in 2 different stock locations will be listed twice

Simple Stock Summary tab

Provides a summary of closing stock based on simple stocktakes

Dish Stock tab

Provides the closing stock of prepared dishes using the Dish Stocktake functionality (requires use of Recipe Manager)

Total Stock Summary tab

Provides the total closing stock including all detailed, simple and dish stocktakes/

Item Theoretical

This new report is for clients with epos integration. The report uses the last stocktake as the opening stock figures and uses the sales linking to recipes, purchases, transfers and wastage to calculate a theoretical stock in hand figure.

Item Variance

This report is for clients with epos integration. The report uses the last stocktake as the closing stock figure and the previous stocktake as the opening stock. It uses the sales linking to the recipes, purchases, transfers and wastage to calculate a theoretical stock figure and provides a variance between the theoretical and actual closing stock.

Line Checks

This report is for clients with epos integration who want to record line checks and and get a variance using those line checks. There is an option to select a date range but it’s not necessary to pick a date. If you don’t the report will use the last line check as the closing stock and the previous stocktake as our opening stock. You will just see the items that are in the line check.

Wastage

The wastage report shows you dish and product wastage and can be run by reason.

Stock transfers

This report shows you the detail within the stock transferred between outlets and/or between categories and departments.

Product

Products

This is a new report which enables you to see catalogue data from all suppliers in one report. Use the search functionality for search for a keyword and compare similar items.

Product History Report

This updated report provides information about the products purchased during the selected period.

 

Recipes

Recipe Margins Report

Use this report to see the costs and margins for each dish. This can also be run for a menu and gives an average line at the bottom.

Recipes

In this report you can search for a supplier or particular product and find the recipes that contains the relevant items

Orders

See all the necessary data about your hospitality orders and search by order status.
