How to Book a Room and Place an order (directly from the room booking)

Introduction

You can use the Hospitality module to see details and availability of meetings rooms, to make a booking and place a hospitality order.

Assumptions

The rooms have been set up and you have the correct permissions

Where to find this

The Hospitality module is an outlet module. You may have Hospitality set up in your day to day outlet or you may have a separate hospitality outlet created, this will depend on your company set up.

Step-by-Step guide

1.In the Hospitality Module, click on Room Booking

2.The page will default to today and availability will be displayed from the current time onwards. For example, if you have clicked on Room Booking at 11am, you will see availability from 11am onwards and not before. 

3.A green tick indicates that the room is available. If a room has been booked, you will see the name of the booking 


4.To change the date, click on the date field at the top of the page and select the correct date. You can limit the search results by selecting the relevant Building. Then click Search on the right hand side.

5.To book a room, click on a tick. This will take you to a new page for you to complete with the required details. You can select the correct end time and edit the start time of the meeting if necessary.

6.To place an order click on the Submit and Place Order button which will take you to the ordering page. 

7.The Room Booking drop down will show you all the rooms you have booked. but will default to the current room booking, 

8.Select the cost centre you want to book your hospitality for, or if your cost centre is not in the list, select Add, enter the new cost centre  then click continue.

9.You will be presented with the menus available based on the room you have booked and the time you have booked it for. These menus are listed in red on the left, eg Teas, Dinner, Snacks etc in the image below. 

10.You will see the items which are included in the 1st menu listed, you can click on other menus on the left to see the items in each of them.


11.To see the allergen information about a dish, click on the A

 

12.Use the Add button to add items to your basket, switching menus as you add if required. You can select a different serving time for each item which will enable you to schedule the items throughout your meeting.

13.Once complete, click Confirm Order

14.The next page shows you a summary and enables you to add any delivery instructions, Comments and Dietary Requirements, you want to share with the kitchen. Once complete, click Place Order. If you have not entered any dietary requirements you will be asked to confirm that you have checked with all attendees that none have dietary requirements.

15.You will now be in the View orders screen and will be able to see your order in Current orders section. You are able to make amendments to your order up until the cut off time set, by selecting the reference number of your order.
