Auto Adjustment Book Off - amending the total value not the individual item qties

Introduction

This guide explains the how the user can amend the total value of a Purchase Order at the point of Booking Off. This is particularly helpful for products measured in weight such as meat or vegetable items.

 You may still amend the amounts of individual items if the quantity you received is different to the quantity displayed on Booking Off, this will still create a Credit Note (See related guides on Credit Notes ) 

Assumptions

  • Auto Adjustment Book Off has been setup for particular outlet(In Outlet Setup)
  • The order has been received and there are variances between the Purchase Order values and the amounts received. 
  • There is an Invoice with the full amount of the order.

Note: Where Auto Adjustment Book Off has been activated as an option you may still request Credit Notes for incomplete orders or faulty items by changing those items and providing a reason.

Step 1: StORM > Requisitions > Orders Outstanding

Step-by-step guide

Step 1 - Requisition

Navigate to Outstanding Orders under StORM,


Click on the required order from the Orders Outstanding list:


The Order Breakdown is the  displayed - If you have individual stock items on the order and the quantities differ from what you ordered, update the quantity and provide a reason on the individual lines as this action will prompt a credit note:


Enter the correct estimated amount in 'Net Amount' field towards the bottom of the page. Select either Book off (for when an Invoice is being sent separately - Then click UPDATE ORDER:


or Book Off and Convert to Invoice if you have received the invoice with the delivery - Then click UPDATE ORDER:

Step 2 - Finance

The order will now be saved in the Finance module as an estimate.
