Add Event

Complete the details required for your event enquiry.


Client Type: is the client booking this themselves (direct) or is the enquiry coming from an agent (indirect)?

Enquiry Name: give the enquiry a name

Enquiry Type: The options in this list are available for you as a client to amend in the CRM, SetUp page by clicking on Enquiry Types. Pick the one in the enquiry which matches your needs

Possible Dates: Select the date the customer is looking at. Tick Multi date if the customer is considering different date options for then event. If you add multiple dates, you will be build up the events for the different dates in the CRM Events section which is the next step.

Preferred Company Venue: Select the outlet which has the required rooms set up in them

Alternative Company Venues 1 and 2: these are optional fields for you to capture any second/third options. Note that the enquiry will be linked to the first outlet only and not these two

Other Date Notes: A free text field to be used as desired

Actual date: Once the enquiry is confirmed add in the actual date of the event 

Actual Date Other Notes: A free text field to be used as desired

Number of Consecutive Days: If the event is over consecutive days, add the number of days here

Numbers Min and Max: Capture the number of guests here

Expected Start and End times: Capture the timings here

Sales Originator: This will auto populate with the current user but can be amended if completing the enquiry on behalf of someone

Overall Event Status: choose from n/a, Ongoing, Cancelled, Provisional

Event Status: choose from Confirmed, Outstanding, Released. Note we are planning on consolidating these 2 statuses to be left with 1 

Event Stage: Select the relevant stage from the dropdown. This doesn't trigger anything but can be used to keep track of an enquiry

Enquirer Name: Record the name of the customer. This will be pulled through on to the quote

Phone: Capture their phone number

Email: This email address can be used to send the quote to later on in the process

Past Venues: Free text option to be used to record customer's history if required

External venue: A free text field to be used as desired

Event Production: A free text field to be used as desired

Additional Services/Info: A free text field to be used as desired

Client Ref: This is the client account reference. This will be pulled through from the company soon but can be entered for now

F&B Value: You can add a value here if you wish although the quote is not generated from this section , this is just for info

Venue Hire Value: You can add a value here if you wish although the quote is not generated from this section , this is just for info

Payment: Select from the drop down

How Were you Recommended: The options in this list are available for you as a client to amend in the CRM, SetUp page by clicking on Referred From Selections. Pick the one in the enquiry which matches your needs

Quote Required By: To help you manage your enquiry, select a target date

Quote Despatched: To help you manage your enquiry, select a target date

Quote Sent By: To help you manage your enquiry, add the name

Follow Up Dates: Keep track of your follows ups by entering the details here and seeing them on the CRM Dashboard


Once you have added your enquiry, you will be able to access the info from the Enquiries page

Create the events within your enquiry. To do this log in to the outlet where the event is to be held and go to Company, CRM Events.
